How To Organize Your Office Desk In 15 Minutes

Do you have to move papers and clutter to create space to work on your desk? Is your desk covered with uncompleted projects, stacks of unread correspondences, sticky notes containing unfamiliar scribbles of messages taken days ago, inkless pens, pencils with no lead, paper clips scattered about and memos taped to the computer to remind you of deadlines. Does this sound familiar? If it does, you must reclaim your desk and conquer all the desk demons invading your office desk. A cluttered desk is no place to be creative or productive, it only adds to the feelings of being overwhelmed, stressed and distracted. However in 15 Minutes, you can conquer the desk demons and create a successful surrounding that will get you feeling very productive and motivated. Here are four steps that will get you the perfect office desk in 15 minutes.Clear Your Desk of EverythingTake everything off your desk and put it on the floor in neat stacks. At this time don’t try to justify what you must keep and what needs to be trashed, just take it all off your desk. This will give you the clarity you need to begin and complete this exercise and the opportunity to rejuvenate and refresh. You are transforming from an old habit of a messy desk into a new way of keeping your desk organized.Designate an Inbox spaceDecide if you would like the right or left corner of your desk to be your inbox (I recommend the right corner), however, it’s your desk so you must decide. Once you have designated a space for your invoice, put an 8 X 11 inch tray in that space to hold all incoming correspondences. Don’t fret, if you don’t have a tray, no need to rush out and purchase one, just designate an area and identify it as your inbox space and never allow anything else to take up that particular space. The use of your inbox space is to collect all incoming correspondences: memos, mail, anything that is coming to you and you are responsible for reading (it’s comparable to your email inbox). You must check in with your inbox tray daily. Upon reading a correspondence, you must take three actions: take action immediately (if it requires a response), file it or trash it. Your inbox is not a holding space to keep information indefinitely. It serves as an organization tool to hold all incoming information until you can take one of the above actions. You must make the commitment to check in with your inbox daily, sometimes two to three times a day depending upon the amount of incoming information you receive daily.Create a Tickler FileGet twelve manila folders and label them January – December, then you will need 31 more vanilla folders labeled 1 – 31 for the days in the month and two additional folders labeled for the upcoming years. As I am writing this it is 2008, so you would create a 2008 folder and a 2009 folder. Which ever month that you are currently in, include the days of the month folders (1-31). Whenever you have a planned task, appointment, incoming memo announcing a meeting/ seminar and or project deadline just put the information in the folder according to month and date that you need to get it done. For example, if I need to complete and submit an article to a publication that my target audience reads on December 15, 2008, I would put the contact information, due date and a checklist in the folder for December 15, 2008. On Dec. 15, everything that needs to be done is in my tickler file and I can take action. What if I am planning to attend a conference on May 17, 2009 and just received the itinerary, I would put the itinerary in the 2009 file folder and when the 2009 arrives, the itinerary will be moved to the month of May in the 17th file folder. Tickler files should also be in sync with your daily planner. It is best to put your tickler file system in a file/desk drawer, or even a box. Keep it simple; however, avoid the temptation to put it on your office desk. Now it’s time to file. Peruse through all the papers that you initially cleared off your desk and file them into your tickler file system accordingly. If you find correspondences that are outdated, unimportant or does not need you to respond, throw those excess papers in the trash and clear the clutter.Review your tickler file daily.Keep a Planner / Calendar on desk Your desk should have a planner or calendar which shows you the date and a list of all the tasks & activities that need to be completed during that particular day. Use your planner to jot down any quick notes, telephone messages or frequently used telephone numbers, this system will prevent you from writing information on multiple sheets of paper or sticky notes and it will serve as the primary place to store notes and messages. Notes & Messages will be easily retrievable when you are in need to review them. You will no longer have to wonder, “Where did I put it?” and waste time looking for any messages or notes.Viola! You have created an organized desk (in 15 min.) that is ready for your productivity.(c) 2008 Bridgette BoudreauxABOUT THE AUTHOR:Business Coach & Time Management Expert, Bridgette Boudreaux, Teaches Female Small Biz Owners To Get It All Done In 6 Hours or Less Daily! If you’d like to work less hours, accelerate productivity and double your income while creating more time for family & fun stuff with Bridgette’s simple but powerful 5 Step System, call today to schedule a Free half-hour phone consultation at 1-800-373-0797. Home Office Essentials Part One

So you’ve decided to set up your own business. You’re following the same route taken by thousands of new entrepreneurs each day. You’ve settled on your business idea, designed a marketing strategy and are looking forward to a bright future.Did you stop at any point and think about how your home office should be designed? What type of office setup do you need? Most entrepreneurs have their offices at home. Do you evenhave space for an office at home? The purpose of the following two articles is not to give you a blow-by-blow plan of how to set up your home office but more to give you tips and advice that’ll save you time, heartbreak and money.Your Desk Newspaper ads years ago were filled with adverts stating “start a business from your kitchen table”. While in theory (and in bad advertising) this is fine operating your business from a kitchen tables is entirely unpractical.A good home office desk is functional, sturdy and has a clear, flat worktop. You’ve seen those office desks that are filled with drawers, shelves, keyboard trays and tons of other nooks and crannies. Firstly this type of desk looks fine in a catalogue but is far smaller when you actually build it.Secondly all those drawers and shelves only give you more places to lose stuff. Keep your desk simple. The ideal home office desk has a large, flat working area with at least one deep drawer for storing files and another shallow drawer for storing pens, paper and other consumables.Ideally the desk should also be L shaped. This allows you to place your work around you as opposed to constantly having to stretch and reach for different items. The L shaped desk will provide you with a more practical working environment aswell as saving you backpain problems later in life.Your Chair This is where you’re going to be spending a considerable amount of time. Never, ever skimp on your home office chair. It is absolutely essential that you have a good office chair. Many new home business owners make the critical mistake of using a kitchen, spare household or even a garden chair for their home office. This boggles the mind considering the same person probably wouldn’t think twice about paying $1,000 for a new computer but won’t pay $100 for a quality office chair.Using a cheap chair that doesn’t provide proper back and lower limb support can and will lead to lower back and shoulder pain. It can also provoke migraines and other headaches. Poor posture should never be underestimated – it can have far reaching effects.Features you should look for in an office chair:* Adjustable backrest* Swivel base* Adjustable armrest* Adequte lumbar support* Deep cushioned seatA great home office chair can be purchased for as little as $60 brand new. If you’re finding yourself strapped for cash then check local auction houses for office clearance items.Other source of “cheap” office chairs are IT firms and call centers. They’re constantly having to replace their furniture to meet legal ergonomic requirements. That $200 office chair can often be purchased slightly used for about $20.Your Ergonomic EnvironmentThe 3 key environmental factors in a suitable home working environment are noise, light and heat.Noise Excessive noise is not only distracting but also debilitating. Prolonged exposure to excessive noise can and will affect your hearing. What counts as excessive noise? Most experts agree that anything over 45 decibels or the equivalent of a really loud office fan is counterproductive to your work. You’ll have trouble focusing or thinking clearly for more than a few moments.Your home office needs to be a relatively peaceful environment. You’ll do your best thinking, be at your most creative and work most effectively in a quieter office space.Avoid using laundry rooms, TV rooms or other areas with excessively noisy equipment of any kind.Light You need to be in control of the light in or coming into your office. Light sources that are too bright will cause glare on computer screens and documents.A home office that is too dimly lit will lead to eyestrain and headaches over time. If the area is too dark you’ll lean closer to the computer screen and documents to read them thus causing discomfort.Natural light is ideal because it provides diffuse (soft) light. An added bonus is that natural sunlight has a beneficial effect on our physiologies – our bodies produce more “feel good” chemicals when we absorb natural light.Obviously don’t put your working area in direct sunlight as it will be far too uncomfortable to work in. Simply arrange your office in such a way as to maximize the benefit of the natural light in your immediate surroundings. If you’re a nightowl then simply point your desklamp away from the desk towards a wall behind you. Why? This provides the same type of diffuse light that you’d experience during the day. Adjust the lamp until it provides enough light to read your screen or documents comfortably by.Heat This is the easy bit. Your home office should be neither too hot nor too cold. Is that stating the obvious? Any extremes of temperature in your home office will lead to decreased work performance. Normal room temperature is 37 degrees celsius (98 degrees Farenheit) so you need to aim for something in that region. If your home office is too cold you won’t be able to focus. You’ll spend more time being annoyed at being cold than getting any work done.Too much heat and you’ll find yourself becoming irritable, lethargic and distinctly uncomfortable.Your body is no different to the engine of a car or a piece of electronics. We all have optimal working temperatures. Otherwise we break down.continued in Part TwoThis article was provided courtesy of HomeOfficeBuddy.com which contains tons of information on home office design.Article Source: http://EzineArticles.com/?expert=Niall_Roche

    Home Office Desks

A home office can have a touch of class. It should reflect your style and character and yet serve its functions well. Even with a small budget and a lot of creativity you can set up a home office that looks inviting, is professional, and reduces stress. When selecting a desk for the home office you must consider the dynamics of your home interiors. Is it contemporary, classic, strong or soft? What kind of overall image does the room portray? Home office desks and other paraphernalia must be chosen such that they blend well with your home d?cor. Before you set out to buy a desk, write down the size of the desk you are looking for. Then go online and surf the furniture sites for types as well as designs. Once you have short listed what you like, find out details like price, guarantees, shipping and installation costs, as well as available sizes and colors.Desirable characteristics of a home office desk are: sufficient storage space, a flat surface to work on, space below for comfortable seating – the legs must fit with space to spare and you must have something to place your feet on; a flexible tray for a computer key board as well as space for the CPU and monitor. If the desk is designed such that you can opt for an extension then the fax machine, telephone, as well as multifunction computer printer can be placed on it.Aim on a desk that is easy to maintain, is functional and simple in design. This element is important in case in future you find a need to expand and add more desks or office equipment. If in doubt seek the help of a professional interior designer.Office Desks provides detailed information on Office Desks, Home Office Desks, Glass Office Desks, Office Desk Chairs and more. • Home Office Desk and Furniture Selection Tips – by
By Reception Furniture on January 19th, 2010 | No Comments Comments

Home Office Desk and Furniture Selection Tips

There is no right or wrong way to select a home office desk. However, it is a good idea for you to know what is most suitable for your purposes. For example, some people will be content with just a small home office desk on which to place important papers, and on which to complete small tasks. The chair they would prefer to coordinate with this small unit might be one either made of a mesh material, or one made of leather.Other people may need a larger modern flat table on which to place a desktop computer, file shelves, office supplies, and calendars. In order to help you decide, it may be important for you to keep a few points in mind. For example, if you run your own home business or you work for a large corporation, in all probability you already have a computer. In fact, it is very hard to imagine now to run a commercial or retail operation without one.Normally almost every organizational task is now accomplished using various computer software programs. For instance a majority of larger companies will use tax filing software that is suited for filling out tax documents, keeping track of revenue, and creating invoices.Since a computer is mandatory these days for carrying out nearly all duties, more people usually today are likely to need the flat top table design. They have very little use for a model of desk constructed with many shelves, drawers, or filing cabinets.Home office furniture that comes with a guarantee would be your number one selection if you are purchasing online. You will want to ensure that they ship it to you and you will want to ensure that you can receive a replacement if it arrives damaged.Virtually all desks offered are rectangular, but some are slightly curved or V-shaped. Computers, file shelves, and other office accessories fit just right on them.Manufacturers use only the strongest metals to produce the frames and legs of these desks. Therefore, they typically hold quite a bit of weight, since the materials used are somewhat heavy.Furthermore, the upholstery used to make comfortable office chairs often include Italian leather, strong mesh, or other net-weave. The vast selection is available to you will help you find just the right combo no matter how big or small of space.Picking out the right home office desk is to your advantage. For starters, it helps promote professionalism in your place of business. It also helps keep you organised.Popular Home Office Desk ModelsArticle Source: http://EzineArticles.com/?expert=Julie_Blodgett

It is not only beneficial for the employees’ over all health, but indirectly yet significantly, important for the benefit of the organisation. Let us see how. Employee’s Benefit An employee spends more than half part of each day in office. It is where the employees sit and work for a long duration of time. So if the work environment is not good enough, the employees would feel discomfort and would have to strain their body parts in order to get work done. For instance, if the office chairs are not adjustable, people with different heights would face different kinds of difficulty. The tall ones would have to stoop, while the short ones would have to strain in order to reach their work space. Again, the office desks also need to have sound ergonomics so that the employees do not hurt their joints, muscles or nerves while they are on the job. Organisation’s Benefit It is needless to say that benefit of the employees is directly proportional to the overall growth and development of an organisation. More fit and happy employees would mean more willingness to work and perform better. More work oriented mindset would automatically show positive results in terms of increase in productivity and good work culture. Such a healthy environment would again lead to enhanced motivation to work, thereby taking the organisation from one milestone to another successfully. Employer’s Benefit Benefit of the organisation would mean the employer is getting benefited. In fact, it is the prime goal of an employer to think for the success and well being of the organisation. With the new age office furniture, the employer now gains an advantage. The contemporary collection of office chairs, desks and other important office furniture come at very cost effective rates. • Finding the Right Office Desk For Your Home-Based Business – by
By Reception Furniture on October 27th, 2009 | No Comments Comments

Finding the Right Office Desk For Your Home-Based Business

Choosing home office furniture can be a difficult task, especially if you are limited by the amount of space it can possibly occupy. There is computer equipment, an office desk, office chair(s), and filing cabinets(s) to consider as some of the basic office furniture necessities for a home business. If you run a business from your home, you have probably established a room or area that will serve as your home office. This is a great idea because it provides you a designated place in which to work keeping it away from all the little distractions at home that prevent you from staying on task. Your desk should be the central part of this office space since it is where you will probably complete a majority of your work. It should therefore be a quiet place away unwanted noises like the TV or road traffic. The first consideration when choosing an office desk is space. This is really important and unless you don’t mind making several trips to the furniture shop to exchange/return furniture, you will be better off heeding this simple piece of advice. Before actually shopping for the desk, measure the space it will occupy and write down the dimensions. Bring them with you when shopping so you will stay within the guidelines and not purchase a desk that is too large for the allotted space.Plan exactly how you will use the desk. Will your computer occupy all or part of your desktop? If so, consider purchasing a computer desk that includes storage for the tower, a printer shelf, and a tray to contain the keyboard and mouse. That way, the only component to take up room on the actual surface will be the monitor. This will leave you room for books, papers, and other work supplies when you are working. If you are using a laptop, it will save you lots of desktop space because of the all encompassing features of these computers.Another consideration for desks often overlooked are the electrical cord organization features. Some desks don’t have any cord management features built in which leaves wires dangling all over which can be a sore sight. Realize that computer equipment, phone equipment, and printers will create a mess of wires on your floor and desktop unless managed. Cord management features are certainly a great plus when shopping for an office desk.Your office chair is just as important as the desk itself. You want to make sure you will be comfortable when working, since it is likely you will spend a good amount of time sitting.Other factors to consider are where the desk will be placed in relation to an electrical outlet, and whether or not the designated space is in close proximity to both a phone and Internet connection? If you do not want to purchase an additional piece of furniture but need a bookshelf, consider purchasing a desk with a hutch on top. This will give you extra shelf and cabinet space for storing books, software, and other office supplies.Stewart Baker writes for http://www.ModernOfficeFurniture.comModern Office is a trusted furniture supplier for over 30 years.
